Purpose & Scope
This document establishes standard operating procedures (SOPs) and execution standards for all Selvage Home Services personnel. Its purpose is to maintain consistent quality, reduce risk, ensure client satisfaction, and create repeatable, scalable processes for residential installations and repairs.
- All fencing installations (wood, vinyl, chain link, ornamental)
- Gate system installation and maintenance
- Exterior carpentry, trim, and minor structural repairs
- Warranty, punch-list, and corrective service work
- Integration with retail or property management programs
Staff Responsibilities
- Technicians: Follow SOPs, maintain clean worksite, complete all assigned tasks, document completion.
- Site Supervisors: Verify scope alignment, oversee installation quality, ensure safety compliance, and handle client communication.
- Project Managers: Schedule jobs, confirm resource availability, coordinate multi-unit or multi-site execution, and maintain records.
- Quality Assurance Team: Conduct post-installation inspections, verify adherence to standards, document deviations, and provide feedback.
Standard Operating Procedures (SOPs)
1. Pre-Installation
- Verify scope of work with client or project manager.
- Confirm materials, tools, and personnel availability.
- Review site conditions and note any special considerations.
- Set up property protection measures as needed.
2. Installation / Repair Execution
- Follow installation manuals and SOP checklists for each product type.
- Maintain a clean and organized worksite.
- Document progress through photos or digital reporting tools.
- Address any issues immediately and escalate as required.
3. Completion & Quality Verification
- Conduct final inspection against SOP standards.
- Ensure alignment, level, and finish quality for all installations.
- Clean and remove all debris from the work area.
- Document completion and obtain client acknowledgment if applicable.
4. Post-Service & Follow-Up
- Review warranty obligations and provide client instructions.
- Address punch-list items promptly.
- Update internal records and digital logs for reporting and continuous improvement.
Safety & Compliance Standards
- All personnel must wear appropriate PPE (Personal Protective Equipment).
- Follow OSHA and local safety regulations at all times.
- Conduct daily jobsite safety briefings for larger projects.
- Maintain compliance documentation, including licenses and insurance certificates.
- Ensure all staff are trained on equipment operation and emergency procedures.
Quality Control Checklist
- Installation aligns with design specifications.
- Structural integrity verified for fences, gates, and posts.
- All components secured and functional.
- Site clean and property protected.
- Client sign-off or internal verification completed.
Documentation & Reporting
- Daily work logs maintained for each project.
- Photographic evidence for all installations and repairs.
- Incident reports submitted immediately if required.
- Digital records uploaded to internal management systems for audit and review.
Continuous Improvement
All SOPs and execution standards are reviewed quarterly. Lessons learned from installations, repairs, and client feedback are integrated into updated procedures. Our goal is to maintain consistent excellence and scalability across all service categories.
